RECEIVING CONTENT FAQs

WHAT IS CONTENT?

PlayerLync considers any files that are being published to Members in your organization via the PlayerLync platform to be content. This can and does include courses, forms, PDFs, videos, Office documents, etc.

WHAT CONTENT WILL SHOW UP ON A DEVICE?

Depending on where content is published and how, different content can live on different devices. Administrators have the ability to publish content to individual Members, collective groups of members, or an entire organizational unit. Different content may be exposed to different users of the same device depending on what groups they belong to and what permissions they have. To gain a better idea of what should be showing up on a specific device, an administrator can check the user's Member folder, any groups the Member belongs to, and also any content that lives at the organizational level where that device resides.

Example:

Member: James Smith
Groups: FOH, BOH
Device location: Dave's device:
                Primary Org
                        Sub-org 1
                                Location A

To understand what content will be on James Smith's device when he logs into the PlayerLync app, you can check his Member folder, the FOH and BOH groups, and Location A under Organization. You can also run reports to view this information.

ARE NOTES (ANNOTATIONS) SEEN BY OTHER USERS?

Each Member receives their own instance of the content, even if they are using a shared device. User 1 can login to the device, open a PDF and draw annotations then logout. When user 2 logs in and opens the PDF they will not see user 1's annotations unless user 1 shared those annotations with user 2.

HOW OFTEN WILL A DEVICE RECEIVE NEW CONTENT?

Devices are configured to check-in to their PlayerLync server every hour. New content will download during this check-in process and any content that was removed from the server will delete at that time.

DOES GROUP CONTENT NEED TO BE MANUALLY DOWNLOADED?

Group content will download to the device during the normal check-in process. If content is published to a few different groups that the Member belongs to, only one copy of the content will download to the device. Each location where the content was published will display the content in those places - though only one copy will use up storage on the device.

DO EACH OF OUR LOCATIONS RECEIVE THE SAME CONTENT?

Locations (also referred to as Organizations) will receive whatever content was published to them by a publishing administrator. Content published at the organizational level will go to each device at that level. Content published to Members specifically will only display for that person when they login to the device.

WHERE CAN I SEE WHAT CONTENT IS PUBLISHED WHERE?

PlayerLync administrators are able to view Reports in the Admin Portal. There is a content report that will show every piece of content published in the platform at the logged-in level and below. In other words, if the administrator is logged in a regional level, they will be able to see that region's published content as well as any content published below that regional level. They will not be able to see content published above that level though. Through these reports you are able to see the names of the content as well as where in the structure they were published. This will help an administrator understand what content is supposed to appear on the device for any specific user.
